Dear Meetup Host,
Thank you for agreeing to distribute and collect our surveys at your October 1st Meetup. They will provide important information about Dean's grassroots support. It will take about 2 weeks for us to analyze the survey responses and post them to the Dean Volunteers web sites (at www.DeanVolunteers.org/Survey/ ). We will use the results for a trade publication article and to generate news media interest and stories about Dean's Meetups.
Please confirm that you have received the attached documents and can print them successfully. It is intended to be printed on two double-sided sheets. Please reply with an estimate of how many people will be attending your Meetup and how many copies of the survey you intend to pre-print. If you have trouble downloading or printing, additional formats are available at www.DeanVolunteers.org/Survey/ .
At the end of the Meetup, please fill out the information on
the attached "Meetup Host Survey Form" and return all completed
surveys by

Details of what to do at the Meetup:
1) We're targeting getting 1,000 responses.
2) There are 25 Meetup hosts who've volunteered; hence we're hoping each of you can produce 40 responses. Returning less than 40 is fine, as is returning more than 40.

3) Payment will be about $1 per survey submitted to us. We'll guarantee that the first 50 you send get you $1 each. Above 50, it depends on how may responses we get. But you all will split $1,000 in any case -- that's our grant budget. If you were not in the first 20 respondents to volunteer, we can't guarantee any payment, but you may receive some.
4) Your responsibilities are:
a) Print out the attached survey and make enough copies for your Meetup.
b) Explain the purpose of the survey to those who will do it (there's a brief blurb at the start of the survey), and make it clear that it's voluntary, and anonymous.
c) Meetup attendees fill in the survey on their own -- you can call Jesse Gordon at 617-320-6989 during the Meetup if you have any questions. (Calling before is fine too).
d) You collect all the filled-in sheets, and mail them in

e) You'll get a check by Oct. 7 or 8.
f) We key in the data -- you just send the papers that people filled out (the free-form answers end up getting coded by categories that we make up when keying it all in). You can fill in a survey yourself, too, if you like.
g) We ask that all the surveys get done at the Meetup -- the questions assume that, and the survey results would be confusing if we let people take the survey home. The questions also assume that the survey is done toward the end of the Meetup (so that first-time Meetup people have some idea how they work). So please schedule the survey for the second half of your agenda.
